2.  What Personal Data We Collect

Depending on your interaction with ECJC, we may collect and process the following categories of personal data:

• Identity data: first name, last name, salutation
• Contact data: email address, telephone number, organisation or company name
• Message content: information submitted via contact or registration forms

1. b) Event and programme participants

• Identity data: first name, last name
• Contact data: email address, telephone number, organisation or community affiliation
• Participation data: programme applications, registration details, dietary or accessibility requirements (where voluntarily provided)
• Photographs and audio-visual recordings: images or videos taken at ECJC events, which may be published on ECJC’s website and social media channels — only with your prior explicit consent (see Section 4.b and the separate Photo Consent Form)

 

1. c) Members, donors and partner organisations

• Identity and contact data as listed above
• Financial data: payment information necessary for processing donations or membership fees
• Correspondence: records of communications with ECJC

3.  Purposes of Processing and Legal Bases

We only process personal data when there is a lawful basis for doing so under the GDPR. Each processing activity is linked to a specific purpose and legal basis as set out below.

 

1. Responding to enquiries and providing information

Legal basis:  Art. 6(1)(b) GDPR – processing is necessary for taking steps at the request of the data subject prior to entering into an arrangement; or Art. 6(1)(f) GDPR – our legitimate interest in maintaining communication with interested parties.

Retention period:  Deleted within 2 years of the last contact, unless a longer relationship develops.

 

2. Administering events, programmes and workshops

Legal basis:  Art. 6(1)(b) GDPR – performance of a contract or pre-contractual steps (e.g. registration agreement); or Art. 6(1)(a) GDPR – your consent where required.

Retention period:  Deleted within 1 year after the conclusion of the event, unless there is a legitimate reason for longer retention (e.g. ongoing programme relationship).

 

3. Membership and donation administration

Legal basis:  Art. 6(1)(b) GDPR – performance of the membership or donation agreement; Art. 6(1)(c) GDPR – compliance with statutory obligations (e.g. accounting and tax law).

Retention period:  Retained for the duration of the membership/donation relationship and for a further 8 years thereafter in accordance with applicable accounting and tax retention obligations.

 

4. Sending newsletters, updates and invitations

Legal basis:  Art. 6(1)(a) GDPR – your explicit consent. You may withdraw consent at any time (see Section 7).

Retention period:  Until consent is withdrawn. After withdrawal, data are removed from the mailing list promptly.

 

5. Photography and audio-visual recordings at events

Legal basis:  Art. 6(1)(a) GDPR – your explicit prior consent. No photographs identifying you will be taken or published without your consent.

Retention period:  For as long as the publication serves a legitimate organisational purpose, and deleted promptly upon withdrawal of consent.

 

6. Website operation, security and analytics

Legal basis:  Art. 6(1)(f) GDPR – our legitimate interest in ensuring website functionality and security. Non-essential cookies are used only with your consent (Art. 6(1)(a) GDPR).

Retention period:  Technical logs: up to 90 days. Analytics data: up to 13 months.

 

7. Compliance with legal obligations

Legal basis:  Art. 6(1)(c) GDPR – compliance with statutory requirements (e.g. tax, accounting or other applicable law).

Retention period:  As required by applicable law.

 

8.  Sharing and Disclosure of Personal Data

We do not sell personal data. Personal data are only shared with third parties where necessary for the purposes described in this Privacy Policy and on an appropriate legal basis. The list of entities to whom we share personal information are listed in Annex 1.

Annex 1 (List of Processors and Service Providers) may be updated from time to time and is available upon request.

 

1. a) Service providers and processors

We may share personal data with trusted third-party service providers acting as processors on our behalf, including:

• Website hosting and IT infrastructure providers
• Website operators and developers
• Email and communication platform providers
• Analytics providers (e.g. for website statistics)
• Accounting and bookkeeping firms
• Event organisers and co-hosting partner organisations
• Printing and mailing service providers

All processors are bound by data processing agreements and may only use personal data in accordance with our instructions and for the specified purpose.

 

1. b) Photography and publication

Where you have given your explicit consent, photographs or audio-visual recordings in which you appear may be shared with or published via ECJC’s website, social media channels, newsletters or partner organisations. Your name will only be published alongside images where you have separately consented to this.

 

1. c) Partner and affiliated organisations

ECJC works with member communities, partner Jewish organisations and international bodies. Personal data are only shared with such organisations where you have consented or where sharing is necessary for the performance of a joint programme or event.

 

1. d) Legal disclosure

We may disclose personal data if required to do so by law or in response to valid legal process.

9.  International Transfers

As an international organisation, some of ECJC’s activities may involve the transfer of personal data to countries outside the European Economic Area (EEA), including to partner organisations or event co-organisers located in third countries. Where such transfers occur, we ensure that adequate safeguards are in place, including the use of Standard Contractual Clauses (SCCs) approved by the European Commission, or we rely on other appropriate transfer mechanisms in accordance with Art. 44–49 GDPR.

10.  Cookies

Our website may use cookies and similar tracking technologies. Essential cookies necessary for the operation of the website are used on the basis of our legitimate interest (Art. 6(1)(f) GDPR). Non-essential cookies (e.g. analytics, marketing) are only placed after you have given your explicit consent via our cookie banner (Art. 6(1)(a) GDPR).

Right to withdraw consent:  Where processing is based on your consent, you may withdraw it at any time, without affecting the lawfulness of processing carried out before withdrawal.

Right to lodge a complaint (Art. 77 GDPR):  You have the right to lodge a complaint with your national data protection supervisory authority.
